Project Overview
Business
The Education CRM & Student Application Management Platform was designed for an education consultancy that provides IELTS and PTE coaching while assisting students with international admissions and visa applications.
Problem
As the business expanded, managing student records, documents, applications, and communication through spreadsheets and disconnected tools became increasingly inefficient. The objective was to create a centralized platform that enables consultants, administrators, and agents to manage the complete student admission lifecycle from a single system.
Solution
The solution supports multiple user roles, responsive workflows, document management, application tracking, and business insights through a unified dashboard.
The Challenge
The consultancy managed a growing number of students, applications, and supporting documents across multiple staff members and external agents. As operations expanded, information became scattered across spreadsheets, emails, messaging platforms, and manual records, making collaboration difficult and slowing down the admission process.
The business needed a centralized platform where every stakeholder could access the latest information, monitor application progress, manage documents, and seamlessly continue work without relying on a single individual.
Business Challenges
- Student information scattered across multiple tools
- Difficult to track application progress
- Manual document management
- No centralized communication
- Multiple staff members working independently
- Limited visibility into daily operations
Design Objectives
- Centralize student records
- Simplify admission workflows
- Improve collaboration between staff and agents
- Provide real-time application tracking
- Standardize document management
- Design a scalable and responsive interface

My Role
As the sole UI/UX Designer on the project, I collaborated directly with the business owner to transform evolving requirements into a scalable digital product. I was responsible for designing the complete user experience, creating intuitive workflows, and delivering a developer-ready interface across desktop and mobile platforms.
Since the product was being defined throughout the project, close collaboration and continuous iteration were essential to translate business ideas into practical user experiences.

Information Architecture
The platform was structured around the complete student admission lifecycle, allowing consultants, administrators, and agents to access information through a clear and scalable navigation system. Each module was designed to reduce navigation complexity while supporting different user roles and business workflows.

Key Design Considerations
Scalable Navigation
Designed to support growing datasets without increasing navigation complexity.
Modular Architecture
Student information was divided into logical sections for easier management and faster task completion.
Role-Based Access
Different users accessed relevant information based on their responsibilities.

Final Outcome
The project transformed a complex admission workflow into a centralized digital platform that supports the complete student application lifecycle. The final design included responsive interfaces for desktop and mobile, reusable design components, role-based workflows, and scalable modules for managing students, documents, applications, notifications, reports, and business operations.
The delivered design system and interactive prototype provided developers with a consistent foundation for implementation while enabling the business to scale future features efficiently.
Key Takeaways
Working on this project strengthened my ability to design enterprise applications with complex workflows and multiple user roles. It reinforced the importance of organizing information architecture, designing scalable component systems, and simplifying data-heavy interfaces without compromising usability.
The project also highlighted the value of close collaboration with stakeholders, continuous iteration, and designing flexible solutions that can adapt to evolving business requirements.
